How much does managed IT cost for a Northern Ireland business in 2026?

Typical 2026 prices for managed IT across the UK and Northern Ireland—per user, per server and for a worked example—plus what drives the cost up or down.

6 min readLast updated: · Business Technologies NI

For a Northern Ireland business in 2026, fully managed IT typically costs between £45 +VAT and £95 +VAT per user per month, according to the price guides UK providers publish [1][2][3]. Each on-premise server usually adds about £75 to £300 +VAT a month [1][2][4], one-off onboarding typically costs £500 to £5,000 [2][5], and Microsoft 365 licences are billed on top. Using the middle of those ranges, a 20-person practice with one server would budget around £1,590 +VAT a month. These are UK-wide figures: we found no independent survey of Northern Ireland prices.

The short version

  • Managed IT is priced per user, per month. The number of people is the biggest factor in the cost.
  • The level of service is the second. Security-led services with 24/7 monitoring and response sit at the top of the range.
  • Servers in your office, Microsoft 365 licences, onboarding and out-of-hours cover are usually priced on top.
  • When comparing quotes, check what's included before comparing the monthly figure.

What is managed IT?

Managed IT is an arrangement in which an outside partner takes ongoing responsibility for running, securing and supporting your technology for a predictable monthly fee, instead of charging for each fix. The partner monitors systems, keeps them patched and protected, supports your people and plans what comes next.

How much does managed IT cost per user in 2026?

Typical UK managed IT prices per user per month (published UK price guides, checked 3 November 2026, all +VAT)
Level of servicePer user, per monthWhat it usually includes
Basic or remote helpdesk£30–£55 +VATRemote helpdesk, patching and basic antivirus. On-site visits and security extras are often charged separately
Standard managed IT£45–£85 +VATProactive monitoring and patching, endpoint protection, Microsoft 365 administration and helpdesk
Security-led or fully managed£80–£150 +VATAdds 24/7 security monitoring and response, compliance support, named engineers and strategic reviews

The ranges come from price guides published by UK IT providers in 2026 [1][2][3][4], so treat them as indicative rather than independent. Most small and medium businesses land between about £45 and £95 per user [1]. The guides agree that London and the South East cost more, by roughly 10% to 25% [2][4]. We found no published comparison for Northern Ireland, so expect local quotes to vary within the same ranges.

What else adds to the cost of managed IT?

  • On-premise servers. Typically £75 to £300 +VAT per server per month, depending on whether monitoring, patching and backup are included [1][2][4]. A fully cloud setup on Microsoft 365 and SharePoint skips this line.
  • Out-of-hours and 24/7 cover. Where it isn't included, 24/7 cover typically adds £15 to £30 per user per month, and out-of-hours call-outs on a business-hours contract are often charged at £100 to £200 an hour [2].
  • Onboarding. Many providers charge a one-off fee to take over your systems, typically £500 to £5,000 depending on size and complexity [2][4][5]. Ask whether it is charged separately and exactly what it covers.
  • Projects. Migrations, office moves and new servers are usually quoted separately, often at £650 to £975 a day [2].
  • Microsoft 365 licences. Usually billed separately. Business Premium, which adds the security and device management most managed services build on, lists at £16.90 per user per month on an annual commitment, ex VAT, checked 3 November 2026 [6].
  • Contract length. Longer terms can be cheaper: one guide puts 36-month contracts 5% to 15% below 12-month ones per user [4]. Check the notice period and exit terms before signing.

What would a 20-person accountancy practice in Belfast pay?

Take a 20-person practice that holds confidential client and financial data, runs one on-premise server for its practice software, and whose larger clients now ask for Cyber Essentials. Using the middle of the typical UK ranges above:

  • 20 users × £70 (the middle of the typical £45–£95 range) = £1,400 +VAT a month
  • 1 server × £190 (roughly the middle of £75–£300) = £190 +VAT a month
  • Total: £1,590 +VAT a month (£19,080 +VAT a year)
  • Plus Microsoft 365 Business Premium at list price, 20 × £16.90 = £338 +VAT a month [6], and any one-off onboarding fee

At the ends of the typical ranges, the same practice could be quoted anywhere from about £975 to £2,200 +VAT a month before licences. A quote at the lower end usually includes less, so check for security monitoring, backup and on-site support before comparing.

Is managed IT worth the cost for a small business?

Cyber risk is part of the answer. In the UK Government's Cyber Security Breaches Survey 2025/2026, 43% of businesses reported a breach or attack in the last 12 months—46% of small businesses and 65% of medium-sized ones [7]. Northern Ireland was lower, at 33%, but that is still one business in three [7].

The basics are still uneven: only 47% of businesses had two-factor authentication in place [7]. Proactive management closes those gaps as standard instead of waiting for an incident to find them, and it turns unpredictable repair bills into one monthly figure. Our article on the real cost of reactive IT sets out the costs that never appear on an invoice.

How do I compare managed IT quotes?

Two quotes are rarely the same shape. Before comparing the monthly figure, check what each includes:

  • Is the price per user, per device or a flat fee—and is there a minimum?
  • Are monitoring, security response and backup included, or extra?
  • Are Microsoft 365 licences, servers and out-of-hours cover in the figure?
  • Are response and resolution times written into the contract? The NCSC gives one business day for routine requests and under an hour for urgent issues as a reasonable example [8].
  • What do onboarding and projects cost, and what are the notice and exit terms?

Our guide to choosing a managed IT provider covers the questions that reveal the difference.
