Business automation in Northern Ireland: where do you start, and what does it cost in 2026?

Which tasks pay back first for a 10–50 person firm, what Power Automate, Copilot, Zapier and Make cost, what a first automation looks like, and the data questions to answer before you switch anything on.

8 min readBy , Managing Director · Updated

For a Northern Ireland business of 10 to 50 people, business automation should start with the repetitive admin that eats hours every week: re-keying details between systems, chasing approvals, filing documents and rebuilding the same report. The tools are cheaper than most owners expect. Basic Power Automate is already included for Microsoft 365 work accounts 4Source 4Types of Power Automate licenses — Microsoft Learn, 22 September 2026.learn.microsoft.com/en-us/power-platform/admin/power-automate-licensing/typesAccessed 4 November 2026See in Sources, Power Automate Premium lists at £11.50 per user per month ex VAT 3Source 3Power Automate pricing — Microsoft UK (paid yearly, ex VAT).www.microsoft.com/en-gb/power-platform/products/power-automate/pricingAccessed 4 November 2026See in Sources, and Microsoft 365 Copilot Business at £16.10 5Source 5Microsoft 365 Copilot Business — Microsoft UK (list price, ex VAT, annual commitment, and the 1 July–31 December 2026 first-year offer).www.microsoft.com/en-gb/copilot/solutions/businessAccessed 3 November 2026See in Sources. AI use is growing fast: 38% of UK firms with ten or more staff used some AI technology in September 2026 1Source 1Business insights and impact on the UK economy: 8 October 2026 (BICS wave 165) — Office for National Statistics, 8 October 2026.www.ons.gov.uk/businessindustryandtrade/business/businessservices/bulletins/businessinsightsandimpactontheukeconomy/8october2026Accessed 4 November 2026See in Sources. The real cost is in deciding what data automation may touch.

The short version

  • Start with one rules-based task that happens many times a week and annoys everyone. Measure how long it takes today.
  • Most Microsoft 365 businesses can build their first automations without buying anything new 4Source 4Types of Power Automate licenses — Microsoft Learn, 22 September 2026.learn.microsoft.com/en-us/power-platform/admin/power-automate-licensing/typesAccessed 4 November 2026See in Sources.
  • Add AI only where a step needs judgement, such as reading an email or a scanned document, and keep a person checking the result.
  • Decide what company data each tool may see before you switch it on, and write it down.
  • Decisions that significantly affect a person, such as hiring or credit, need meaningful human involvement under UK data protection law 12Source 12UK GDPR Article 22A (automated decision-making), as inserted by the Data (Use and Access) Act 2025 — legislation.gov.uk.www.legislation.gov.uk/eur/2016/679/article/22AAccessed 4 November 2026See in Sources.

Which business automation tasks pay back first?

The best first candidates share three traits: they happen often, they follow the same steps each time, and a mistake is easy to spot. In a 10 to 50 person firm, that usually means:

Common first automations for a small business
TaskWhat the automation doesRules or AI?
New enquiriesCopies web-form or email enquiries into the CRM, replies to say you have them and alerts the right personRules
Supplier invoicesFiles invoice attachments, reads the supplier, amount and due date, and sends them for approvalRules, with AI to read the invoice
ApprovalsRoutes holiday, expense or purchase requests to a manager in Teams and records the answerRules
Shared inboxSorts messages by topic and urgency and drafts a reply for a person to checkAI, with a person reviewing
Weekly reportsPulls figures from the same sources every Monday and emails the summaryRules
New starters and leaversCreates or removes accounts, groups and equipment requests from one formRules

What matters is the time you get back. In the UK government's Microsoft 365 Copilot trial, 20,000 civil servants reported saving an average of 26 minutes a day, with the largest savings in drafting documents; the figures were self-reported, and the report says to read them alongside other evidence 2Source 2Microsoft 365 Copilot experiment: cross-government findings report — Government Digital Service, 2 June 2025.www.gov.uk/government/publications/microsoft-365-copilot-experiment-cross-government-findings-report/microsoft-365-copilot-experiment-cross-government-findings-report-htmlAccessed 4 November 2026See in Sources. A rules-based automation is easier to measure: count how many times the task happens and how long each one took before.

What does business automation cost in 2026?

Software costs are modest for a small firm. These are published list prices read in November 2026; Microsoft's are ex VAT on an annual commitment, and Zapier, Make and n8n quote in US dollars or euros.

The larger cost is time: working out the process, building and testing the automation, and looking after it when a connected system changes. Budget for someone to own each automation, whether that is a member of staff or the provider who built it.

What does a first automation look like?

Take a 20-person firm in Lisburn that receives about 60 supplier invoices a month by email. Today someone opens each one, saves it to a folder, types the details into a spreadsheet and emails a director for approval. A first automation built with the Power Automate included in Microsoft 365:

  1. 1.Watches the accounts mailbox for emails with a PDF attached.
  2. 2.Saves the PDF to the right SharePoint folder, named by supplier and date.
  3. 3.Reads the supplier, amount and due date (the AI step) and adds a row to the invoice list.
  4. 4.Sends an approval card to the director in Teams and records the decision.
  5. 5.Flags anything it could not read for a person to check.

If each invoice took five minutes by hand, that is five hours a month back, and the approvals stop sitting in someone's inbox. Reading documents with AI may need a premium licence, so check what yours includes before you build.

Our page on AI automation in Northern Ireland walks through more examples of this kind, from enquiry logging to new starters and leavers in Microsoft 365.

How does AI automation differ from business automation?

Business automation follows fixed rules: if this, then that. AI automation adds judgement to a step that used to need a person, such as working out what an email is about or pulling figures out of a scanned page. AI steps are powerful but can be wrong, so they work best with a person checking the output before anything reaches a customer, a bank or a payroll system. Most firms get the best results from rules doing the routine work and AI handling the parts that vary.

What data questions should you answer before automating?

Automation moves data between systems, and AI tools may read it, so answer these before anything goes live. Microsoft's own UK survey found 71% of employees had used unapproved consumer AI tools at work 14Source 14Rise in 'shadow AI' tools raising security concerns for UK organisations — Microsoft UK, 13 October 2025 (Censuswide survey of 2,003 UK employees).ukstories.microsoft.com/features/rise-in-shadow-ai-tools-raising-security-concerns-for-uk/Accessed 4 November 2026See in Sources, which is a good reason to give people an approved tool and clear rules.

  • What data will each automation read, copy or send, and does it include personal or client-confidential information?
  • Where does that data go, and is the tool covered by a business contract that says how long it is kept and who can see it?
  • Who owns each automation, and who is told if it fails?
  • Does any step make a decision with a legal or similarly significant effect on a person? If so, there must be meaningful human involvement 12Source 12UK GDPR Article 22A (automated decision-making), as inserted by the Data (Use and Access) Act 2025 — legislation.gov.uk.www.legislation.gov.uk/eur/2016/679/article/22AAccessed 4 November 2026See in Sources, and the ICO's guidance on AI and data protection applies 13Source 13Guidance on AI and data protection — Information Commissioner's Office (under review after the Data (Use and Access) Act).ico.org.uk/for-organisations/uk-gdpr-guidance-and-resources/artificial-intelligence/guidance-on-ai-and-data-protection/Accessed 4 November 2026See in Sources.
  • Can staff tell the difference between the approved AI tool and a public chatbot?

How are Northern Ireland businesses using automation and AI?

There is no official Northern Ireland figure. Across the UK, the Office for National Statistics found 30% of businesses used at least one AI technology in September 2026, up from 9% three years earlier, and 38% of those with ten or more staff 1Source 1Business insights and impact on the UK economy: 8 October 2026 (BICS wave 165) — Office for National Statistics, 8 October 2026.www.ons.gov.uk/businessindustryandtrade/business/businessservices/bulletins/businessinsightsandimpactontheukeconomy/8october2026Accessed 4 November 2026See in Sources. Two Northern Ireland surveys give a local picture, measured differently: a 2025 survey of 200 firms with 20 or more staff by GCD Technologies and the Institute of Directors found 19% used AI and 48% were planning or open to it 10Source 10The state of AI in Northern Ireland businesses — GCD Technologies with the Institute of Directors NI, 2 September 2025.gcdtech.com/resources/research/ai-research-2025Accessed 4 November 2026See in Sources, and a Belfast Chamber survey reported in January 2026 found 73% of respondents had no formal AI policy 11Source 11NI businesses embrace AI but 73% still operate without a formal AI policy — Sync NI, 15 January 2026.syncni.com/article/14619/ni-businesses-embrace-ai-but-73-still-operate-without-a-formal-ai-policyAccessed 4 November 2026See in Sources.
