Custom software for a Northern Ireland business: should you build, buy or automate?

When off-the-shelf software is the right answer, when automation fills the gap, and when bespoke software earns its cost: UK developer day rates, project ranges, ownership and hosting questions for a Northern Ireland business.

8 min readBy , Business Technology Engineer · Updated

Most Northern Ireland businesses should buy off-the-shelf software first, automate the gaps between their systems second, and commission custom software only for work that is genuinely specific to how they make money. Buying is cheapest: UK accounting software, for example, lists from £18 to £70 a month ex VAT 6Source 6Pricing plans — Xero UK (GBP per month, ex VAT).www.xero.com/uk/pricing-plans/Accessed 4 November 2026See in Sources. Custom software costs far more and needs an owner for life. The median UK contract day rate for a software developer is £525 1Source 1Software Developer contract rates, UK (six months to 3 November 2026) — ITJobsWatch.www.itjobswatch.co.uk/contracts/uk/software%20developer.doAccessed 4 November 2026See in Sources, and UK software houses price a production web application at roughly £25,000 to £60,000 ex VAT 3Source 3Software development cost in the UK (2026): what 12 real project estimates actually cost — Magora (a UK software house; its bands are guides, not quotes), updated 13 October 2026.magora-systems.com/software-development-cost-uk-2026/Accessed 4 November 2026See in Sources. Bespoke is right when the software is your advantage, not when it copies a product you could rent.

The short version

  • Buy when a well-used product already does the job. You get updates, support and security for a monthly fee.
  • Automate when the products are fine but people re-key information between them. It is quicker and cheaper than building.
  • Build when the process is how you win work, or nothing on the market fits without bending the business around it.
  • Agree in writing who owns the code, who hosts it, who patches it and what happens if the developer stops trading, before you sign anything.

When does off-the-shelf software win?

More often than most owners expect. Cloud software is now normal: the Office for National Statistics found 69% of UK firms with ten or more employees used cloud-based systems and applications 5Source 5Management practices and the adoption of technology and artificial intelligence in UK firms: 2023 — Office for National Statistics, 24 March 2025.www.ons.gov.uk/economy/economicoutputandproductivity/productivitymeasures/articles/managementpracticesandtheadoptionoftechnologyandartificialintelligenceinukfirms2023/2025-03-24Accessed 4 November 2026See in Sources. A product with thousands of customers has had its rough edges found and fixed by someone else, and the supplier carries the cost of security updates, new tax rules and new devices.

The test is simple: if the work is the same in your business as in every other business of your type, buy. Accounts, payroll, email, document storage, booking and most CRM needs fall into this group. Paying £18 to £70 a month for an accounting plan 6Source 6Pricing plans — Xero UK (GBP per month, ex VAT).www.xero.com/uk/pricing-plans/Accessed 4 November 2026See in Sources will beat any custom build on cost for years, and you can leave if it stops suiting you.

When does automation beat custom software?

When the individual products are fine and the pain sits between them: the same customer details typed into three systems, a spreadsheet rebuilt by hand every Monday, an approval that waits in someone's inbox. Connecting the systems you already own is usually a matter of days or weeks rather than months. Low-code tools sit in the same middle ground. Microsoft Power Apps Premium, for example, lists at £15.40 per user per month on an annual plan, ex VAT 7Source 7Power Apps pricing — Microsoft UK (Power Apps Premium, paid yearly, ex VAT).www.microsoft.com/en-gb/power-platform/products/power-apps/pricingAccessed 4 November 2026See in Sources, and lets a small team build simple forms and apps on top of Microsoft 365. Our article on business automation in Northern Ireland covers where to start and what the tools cost.

When is bespoke software the right choice?

Custom (or bespoke) software earns its cost when the process is how you make money and no product fits it. A manufacturer in Lisburn whose quoting depends on its own machine times and material yields, a professional firm with a client portal built around how it actually works, or a field-service business whose jobs, parts and sign-offs do not match any package: these are the cases where off-the-shelf software forces the business to bend. Our manufacturing and professional services pages give examples of where that pressure shows up.

It is also right when you have outgrown a spreadsheet or an old Access database that the whole business now depends on, and the risk of it breaking is bigger than the cost of replacing it properly.

What does custom software development cost in the UK?

Most custom software is priced on time. ITJobsWatch, which tracks UK job adverts, gives the median contract day rate for the six months to 3 November 2026 as £525 for a software developer 1Source 1Software Developer contract rates, UK (six months to 3 November 2026) — ITJobsWatch.www.itjobswatch.co.uk/contracts/uk/software%20developer.doAccessed 4 November 2026See in Sources. In Northern Ireland, the median for contract roles advertised simply as "Developer" was £650 a day, but that figure rests on only 19 adverts, so treat it as a rough guide 2Source 2Developer contract rates, Northern Ireland (six months to 3 November 2026, 19 rates) — ITJobsWatch.www.itjobswatch.co.uk/contracts/northern%20ireland/developer.doAccessed 4 November 2026See in Sources. Agencies and software houses charge more than an individual contractor because the rate covers design, testing and project management. A London software house's 2026 guide puts UK houses at £45 to £140 an hour, with the large consultancies at £120 to £250 3Source 3Software development cost in the UK (2026): what 12 real project estimates actually cost — Magora (a UK software house; its bands are guides, not quotes), updated 13 October 2026.magora-systems.com/software-development-cost-uk-2026/Accessed 4 November 2026See in Sources.

We found no independent survey of UK custom software project prices; every published range comes from a supplier. Global figures are no better: Clutch, a directory of development firms, says most companies it lists charge $24 to $49 an hour, in US dollars and mostly outside the UK 4Source 4Software development company pricing guide 2026 — Clutch (global figures, US dollars), updated 21 September 2026.clutch.co/developers/pricingAccessed 4 November 2026See in Sources. For a sense of the alternative to commissioning, the median salary for a permanent developer in Northern Ireland was £60,000 over the same six months 13Source 13Developer salaries, Northern Ireland (six months to 3 November 2026) — ITJobsWatch.www.itjobswatch.co.uk/jobs/northern%20ireland/developer.doAccessed 4 November 2026See in Sources, before employer costs, management and cover for holidays.

Remember the running costs. Hosting, security updates, backups and small changes continue for as long as you use the software. Budget for them from the start rather than discovering them when something breaks.

How do you brief a software developer?

  1. 1.Describe the problem, not the solution: what happens today, who does it, how long it takes and what goes wrong.
  2. 2.List the people who will use it and on which devices: office staff on PCs, engineers on phones, customers on the web.
  3. 3.Name every system it must talk to, such as your accounts package, Microsoft 365 or a supplier's portal.
  4. 4.Say what data it holds, especially personal or financial data, and where that data must stay.
  5. 5.Separate what the first version must do from what can wait. A smaller first release costs less and teaches you more.
  6. 6.Agree how you will judge success, for example hours saved each week or errors removed.
  7. 7.Ask for a fixed price for a discovery phase before you commit to the full build.

What should you ask about hosting, security and data?

Is there funding for custom software in Northern Ireland?

Sometimes. Invest NI has schemes that can help with the cost of outside expertise and technical development, such as Innovation Vouchers and the Technical Development Incentive 11Source 11Innovation Vouchers — Invest NI.www.investni.com/support-for-business/innovation-vouchersAccessed 4 November 2026See in Sources12Source 12Technical Development Incentive — Invest NI.www.investni.com/support-for-business/technical-development-supportAccessed 4 November 2026See in Sources. Amounts, eligibility and opening dates change, so check what Invest NI is offering before you plan around a grant.

How does BTNI build custom software?

BTNI's Software & Cloud service builds, hosts and looks after custom software for businesses in Lisburn, Belfast and across Northern Ireland, and will tell you plainly when buying or automating is the better answer. The team that builds it also hosts it, keeps it secure and up to date, and supports it day to day.
